Logging In & Profile

This session covers how employees get into Netchex and what happens the very first time they log in. Everything an employee needs lives on their employee profile, and signing in is what takes them there.

Signing in

From the Netchex website, an employee enters their username and then chooses one of two options:

  • Sign in — after entering the password, this takes the employee directly to their employee profile.
  • Punch in / Punch out — this simply gives the option to punch in or out, without opening the full profile.

Forgot password

If an employee forgets their password, the Forgot Password button asks for a verification code, which is sent to the email address entered on the first page.

Setting up a new account

Employees who have never used Netchex may need to set up their account first:

  • Full-access employees receive an email (once the admin adds them) to set up their account and password.
  • Limited-access employees may instead receive a verification code from their HR team — they enter that code and click Next.

Pay Stubs & Tax Documents

From the employee profile, employees can review their pay history, download check stubs, and view or update their tax information. This session also covers the admin setting that controls whether employees can see and change these items.

Payment History

On the employee profile, scroll down to Payment History. From here you can see the latest paycheck and download that check stub directly. Click View Payment History for a list of your most recent checks, and View All Checks to reach older ones.

Paycheck Totals

Paycheck Totals displays year-to-date information. You can select earnings, taxes, deductions, direct deposit/checks, or View All to see everything in one snapshot.

Tax information

Employees can view their tax form history — W-4s and state forms, including every prior version. Clicking into a tax form lets you download and view it, with a timestamp of when it was completed. To make changes, employees can:

  • Add extra withholding directly.
  • Edit their federal and state tax forms, which walks them through a wizard to complete new forms. The new forms appear in the tax form history, and Netchex automatically updates withholdings to match.

Admin setting: enabling these features

If employees can't view payment history or taxes (or make tax changes) and you want them to, check the Employee Self-Service configuration. From the admin profile go to Maintenance → Human Resources → Employee Self-Service Default Configuration and make sure Wage and Tax is selected. You can let employees view taxes without changing them, or allow tax changes; the same applies to payment history. Check the box and click Update.

Time Off Requests

Employees can request PTO right from their dashboard and track it on their time off dashboard. If your company uses AskHR, they can even request time off through the Netchex AI.

From the employee dashboard, scroll down to View Time Off, where employees can see the available balances for any plans assigned to them. They can start a request with the Request Time Off button, or click View Time Off to open their time off dashboard.

The time off dashboard

The dashboard shows all previously approved requests and any pending ones. Employees can view request details and delete requests that no longer apply. They can also add time off right here:

  • Select the time off plan and the dates.
  • The system defaults to 8 hours based on the plan setup, but employees can change the amount and exclude days as needed.
  • A reason can be entered — optional by default, though you can make it required in the plan's back-end setup.

On submit, the request is routed to the manager for approval.

Requesting through AskHR

If your company uses AskHR, an employee can open it, start a new conversation, and submit a PTO request there. The Netchex AI processes the request, asks the employee to confirm, shares details about their plan (including any pending requests), and confirms the submission. Employees can also view or modify requests from AskHR, which takes them to their attendance plans and time-off dashboard.

Personal Info Updates

Employees can keep parts of their own profile up to date. This session shows what they can edit, and the admin settings that control which fields are available.

To manage which items employees can view or modify, go to Maintenance → Human Resources → Employee Self-Service Default Configuration. From there you can see (and toggle) items such as demographics, wage and tax, direct deposit, skills, employment history, and education. To restrict options for a specific employee, go to People → Manage Users → Manage User Access, select your company code and the employee, and click search — then check or uncheck the items you don't want them to view or modify.

Personal Information

On the Employee Profile, under Personal Information, employees can edit their demographic information. Note that name, Social Security number, and birth date are locked and can only be changed by a manager or administrator. Employees can edit their address, personal email, home and cell phone numbers, and their race, sex, and marital status.

Employees can also add dependents and beneficiaries (if you use the NetBenefits platform, beneficiaries entered here transfer to NetBenefits), plus emergency contacts (primary and secondary) and disaster location information.

Profile & Resume sections

In the Profile section, employees can add an About Me (personal email and cell), and choose to share or unshare it with their team — these appear in the Meet the Team section, along with social media accounts and personal interests (activities, sports, hobbies, music). Under the Resume section, employees can add education, employment history, and skills.

Manager Dashboard

When you log in as a manager, you land on your manager dashboard. Like the admin dashboard, it's fully configurable, so you can shape it around the tasks you do most.

Configuring your dashboard

At the top of the screen you can choose a single, double, or triple column layout. You can add widgets you want and remove ones you don't, and click and drag widgets to rearrange them.

Popular widgets

  • Favorite Reports — click the pencil icon, choose the reports you use most, move them over with the arrow, and hit Save for quick access. Reverse the process to remove one.
  • Scheduler — quick links for pending shift requests and the Schedule Builder, taking you straight into the Scheduler feature.
  • Netchex Info — news, links, and files posted for easy reference.
  • Workflows Task — a shortcut into the Workflows feature to manage and action tasks in one place.

To return to the dashboard at any time, select the Dashboard button or click the Netchex icon in the top-left corner.

Approving Time & Requests

Approving time as a manager really covers two things: approving time off requests and approving timecards. This session walks through both.

Time off requests

To reach the Time Off dashboard, use the Requested Time Off button on your calendar widget, or navigate to Time & Attendance → Time Off — either lands in the same place. You'll see a calendar view where small red dots mark days employees are scheduled to be out; click a date to see who's off and each request's status. Below the calendar, requests are grouped by Pending, Approved, and Declined.

For any pending request you can approve, decline, or view details first. You can also add time off on behalf of an employee right from the dashboard. A good habit: before approving, check how many team members are already off that day so you don't end up short-staffed.

Timecards

To review and approve timecards, go to Time & Attendance → Timecard Edit to open the Timecard Editor dashboard, which shows your primary employees (those you're listed as primary manager for). At a glance you can spot missing punches, pending punch requests, overtime violations, schedule violations, and unapproved timecards. Each row shows the employee's status, active alerts, total hours for the period, and whether they've approved their own timecard.

Approve individually (select an employee, then Approve Selected) or use Select All to approve everyone. View Selected opens individual timecards for a closer look. Helpful tip: if timecards are already locked but you need to add a holiday, select the employees and click Unapprove Selected, then mass-add the holiday to their timecards.

  • Reach the Time Off dashboard from the calendar widget or Time & Attendance → Time Off; approve, decline, or add requests, grouped by status.

Team Views

Viewing and managing your team happens mostly from the People tab in your left-side navigation. What you can see and do depends on the access your admin has granted.

Seeing your employees

From the manager dashboard, go to People → Employees to see everyone you have access to — whether you're their primary manager, secondary manager, or were granted access through Manage User Access. If you don't see a particular feature or section, it may simply not be enabled for you; manager access in Netchex is highly customizable and set per manager by your admin. If you're missing access you need, ask your admin to review your permissions.

Adding employees & managing accounts

Some managers can add employees directly: People → Add Employee → Brand New Hire, or use Hires in Progress to add someone straight into the onboarding workflow. On People → Manage Users, you can resend verification codes, disable an account, and see which employees have verified their accounts. A color indicator makes this easy to read: green = verified, yellow = pending, red = email not yet verified. From here you can also manage a specific employee's access (search by name) and view employees in pending or withdrawn status.

Org chart & expiring credentials

Also under People, the org chart gives a visual view of your team structure in a tree, mixed, or horizontal layout, so you can see who reports to whom. The Expiring Credentials section helps you track expiring licenses, certifications, and I-9 documents within a 30, 60, or 90-day window to stay ahead of compliance deadlines.
