On the wing side, the Atlanta Air Academy provides training for pilots in Kennesaw, GA, to ensure that the air travel industry is growing with well-equipped and experienced pilots.

As aviation careers take-off at the Academy, the variety of training programs offered by them builds complexity in human capital management (HCM) that needs a finessed solution to manage payroll for instructors, based on their flights instead of hours or salary. To solve the manual effort required to navigate this complexity, Atlanta Air Charter partnered with Netchex in 2022.

Technology that you bring where you go

A stay-at-home mom at first, Mary got acquainted with Netchex when she joined Rosewell Pediatrics in 2017 as a bookkeeper.

Conducting investigative accounting and ensuring that the company was in good standing in the books, while operating payroll is a lot of work. But migrating from ADP to Netchex one year into the role, Mary was successfully able to achieve her goals.

Five years later, when Mary joined Atlanta Air Charter, she once again chose Netchex as her payroll partner.

Initially set up on Payroll Vault, Atlanta Air Charter was navigating multiple HR challenges with the software. “It was a very difficult payroll system. It didn’t integrate with our tools and didn’t allow users to manage their own data. If someone changed their banking information or address, they would have to write it on paper, and I would email it to Payroll Vault to make the change,” she shares.

Coupled with the issues involved in managing different types of payrolls and promotions, the need for a new HCM tool was clear. Evaluating multiple options like CertiPay, against key criteria of cost, support, and ease of use, Atlanta Air Charter chose Netchex as the leader in all.

“We were confident in the support that Netchex provides, and that’s what tipped the scales in favor of Netchex. I don’t necessarily have a lot questions, but whenever I do, I simply call the Services team, and I appreciate that the person I’m talking to understands what I’m asking and works to get a good response. I wasn’t as confident that other vendors could match that support.”

Talking about her recent experience when Atlanta Air Charter changed its bank, she shares, “There aren’t any hoops to jump through with Netchex support. There was a straightforward form that took me 15 minutes to fill and I was told when and where to give it to Netchex. The Services team had a turnaround time of less than one (1) business day for it.”

 

Integrations & features that land right

Every company has its own process and approach to time & attendance—and that’s particularly true for Atlanta Air Academy. Tracking not just instructor time spent but also the associated flight information, integration of flight data with payroll data was crucial for the Academy.

“I do a direct export from our flight system and upload it to Netchex. It’s exactly the level of detail we need and directly populates the payroll, all of which takes me less than 20 minutes. The process is seamless, and I don’t have to enter things manually or multiple times—preventing errors and mistakes.”

Further, adopting Netchex’s punch in and out functionality, Atlanta Air Charter eliminated QuickBooks Time Management entirely, saving time and operational cost. The simplicity and ease of use offered by Netchex were the winners for Mary, particularly when a user forgets to clock in or puts in a wrong punch only to realize later; “they simply give me a call and it takes me 2 minutes to fix.”

As an added layer of security, Mary has key reports for payroll saved and set as favorite in Netchex. A deceptively simple feature, it’s what Ms. Lang shares is her favorite thing in Netchex — “I just go to my payroll reports and boom, I have 6 reports ready for print. I never forget anything this way. I love it!”

However, it’s not just the Accounting Department that has benefited at Atlanta Air Charter. Enabling users to manage their own data has also led to empowering their workforce “I appreciate that the person with the knowledge is the person entering the information in the system.” Whether it’s an address change, banking change, or direct deposit information, employees are responsible for maintaining their data. 

From signing and kick-off to support and year-end management, Mary Lang sums up her Netchex experience as “phenomenal”.
