W-2 Processing

At Netchex, we make W-2 processing straightforward. Review the fees and timelines below to stay on track for year-end.

W-2 Processing Fees

$100 base fee

Includes transmittal of W-2 information to the SSA and an electronic copy of W-2s and W-3.
$8 per Employee W-2

Form fees will be debited from your registered operating account on Wednesday, January 28, 2026.
An invoice with fee details will be available in your Company Inbox.

W-2 Processing Timeline

Jan 2, 2026

Reconciling of Q4 and annual returns begins.
Jan 9, 2026

W-2 printing begins.
By Jan 28, 2026

All W-2 packages completed and shipped.
Week of Jan 26, 2026

Q4 Company Packages (including tax returns) available in your Company Inbox.

Monitor your W-2 status from the Netchex Info Widget on your Admin Dashboard.

W-2 Delivery Options

Option 1: Traditional Method

All W-2s are printed, sealed, and shipped in one package for you to distribute.
Additional Packaging/Shipping Fees: $29 for the first 50 employees, +$5 per additional block of 50.

Option 2: Electronic Delivery

Employees are notified by email when the W-2 is ready.
Employees consent and download their W-2 as a PDF.
If no consent: Netchex prints and mails a paper copy to the employee’s home address (as of Dec 30, 2025).
Additional Fees: $1.25 per employee needing a paper copy.

Option 3: Direct Mail

W-2s printed, sealed, and mailed directly to employee home addresses (as of Dec 31, 2025).
Mailing begins the week of Jan 19, 2026.
Additional Fees: $29 base per company + $1.25 per employee.

1099-NEC Processing Fees

From setup to shipment, Netchex ensures contractor reporting is fast, accurate, and compliant, so you can focus on managing your workforce, not chasing paperwork.

1099 Processing Timeline

Printing begins Jan 26, 2026. All packages shipped by Jan 30, 2026.
Configure in Netchex to select Print Only or Print + File for 1099-NECs.

Important Notes

Companies added to Netchex after Jan 1, 2019, default to Option 2: Electronic W-2s. To change, visit netchex.com/manual-w-2-delivery.
If W-2s need to be shipped to an alternate address, update your records in Netchex.
For help changing addresses or delivery options, contact Support before Dec 31, 2025.
