About Grants Pass Toyota
Grants Pass Toyota is a busy Oregon dealership serving its community with sales, service, and support teams that keep operations moving every day. With approximately 115 employees and fluctuating staffing needs, the dealership depends on accurate payroll, reliable timekeeping, and organized HR processes to stay on track.
Behind the scenes, HR at Grants Pass Toyota is run entirely by one person: Brenda Nelson, HR Manager. From onboarding and hiring setup to daily timecard monitoring, benefits administration, and semi-monthly payroll, Brenda manages every HR responsibility herself.
To do that well, she needs systems that are dependable, intuitive, and built for the realities of dealership operations. Since 2022, Netchex has become the platform she relies on to keep everything running smoothly.
The Challenge
A One-Person HR Department with No Room For Error
Before Netchex, payroll at Grants Pass Toyota was handled through the dealership’s accounting software. Over time, that system simply couldn’t support what the dealership needed.
When the business moved away from that accounting platform, payroll had to move too. At the same time, Brenda was brand new in her HR role and stepping into responsibility for onboarding, payroll accuracy, and employee data management, all as a department of one.
She checks timecards every day to catch missing punches early, because letting issues pile up turns them into much larger problems at the end of the pay period. Payroll runs twice a month, and accuracy matters and not just for compliance oversight, but also for employee trust.
I check timecards every day because I need to catch any missing punches before it becomes a problem at the end of pay period.
Without the right tools, even small inefficiencies could quickly overwhelm her workload.
The Solution
Netchex as the Foundation for Confident HR and Payroll
When Grants Pass Toyota transitioned away from its accounting software, Netchex became the system supporting payroll and HR going forward. One reason it stood out was familiarity with the dealership world, including its relationship with the Rydell Motor Company, the dealership’s parent company at the time.
Since implementing Netchex, Brenda has built a rhythm that supports her role instead of slowing her down.
She manages onboarding and hiring setup directly in the platform, monitors timecards daily, and runs semi-monthly payroll using a checklist provided during onboarding. And it’s a checklist she still uses today.
“I still use the original payroll checklist Netchex gave me during onboarding. It’s been really helpful, and I still go back to it every time.” – Brenda Nelson, HR Manager
Netchex also supports dealership-specific realities, like pulling flag times and handling employees who work across locations or departments.
“It’s nice to be able to pull flag times and even clock someone in when they’re at another location or sister store — they don’t have to come into the office. Netchex is really geared toward auto dealerships and they know what we’re doing.” – Brenda Nelson, HR Manager
When employees help in another department, Brenda can correct timecards so hours flow into payroll accurately, without workarounds.
Results
A Faster Process and Fewer Daily Headaches
Today, Brenda describes payroll as a quick process, which is a major shift from the uncertainty she faced early on.
She also values that everything HR-related lives in one place. She doesn’t need to click out of Netchex to find answers, and she knows there’s room to expand if the dealership decides to integrate benefits in the future.
“Netchex gives me everything at my fingertips.” – Brenda Nelson, HR Manager
Reporting has improved as well. While time is limited, Brenda has already built a report using the newer reporting tools and was happy with the results. She’s also looking forward to OneScreen Payroll, especially for timecard corrections and last-minute payroll checks.
“Since 2022, there’s been a lot of innovation on the platform, and I’m really looking forward to OneScreen Payroll.” – Brenda Nelson, HR Manager
Service Experience
Real support, real feedback, real responsiveness.
Brenda consistently describes her experience with the Netchex team in positive terms.
“I’ve always been amazed with the Netchex team experience.” – Brenda Nelson, HR Manager
She highlighted strong onboarding support, helpful phone interactions, and the flexibility of chat, which allows her to keep working while getting assistance.
“The chat feature is awesome. I can open it on one side of my screen and keep working on the other.” – Brenda Nelson, HR Manager
When Brenda prefers to speak with a representative, she says the experience is consistently helpful and cheerful. It’s support that fits into her day and keeps work moving forward.
A Moment That Says It All
Listening, then acting.
One of Brenda’s favorite examples of the partnership isn’t a major rollout — it’s a small usability fix that mattered to her daily work.
The employee list defaulted to pages of 25 or 50. With about 115 employees, Brenda found that inconvenient. She mentioned it to her Account Manager, Bryan, during a check-in.
“They went in and turned that setting off for me right away.” ” – Brenda Nelson, HR Manager
It was a small change — and a meaningful one.
Advice to Other Dealership HR Leaders
Brenda’s guidance for other dealership HR leaders is straightforward:
Depending on dealership size, Scheduler may be worth exploring. Most importantly, she emphasizes accuracy from the start.
“Be really accurate with your information. Make sure everything is correct when you start.” – Brenda Nelson, HR Manager
Built for How Dealerships Actually Run
For Grants Pass Toyota, Netchex isn’t just a payroll system. It’s the operational backbone that allows one HR leader to confidently manage payroll and HR without added complexity.
With everything in one place, dealership-friendly timekeeping, and workflows Brenda can trust, Netchex supports the pace, structure, and realities of automotive operations. Payroll runs quickly. Timecards stay clean. And as new features roll out, the platform continues to evolve alongside her day-to-day needs.
