Grants Pass Toyota is a busy Oregon dealership serving its community with sales, service, and support teams that keep operations moving every day. With approximately 115 employees and fluctuating staffing needs, the dealership depends on accurate payroll, reliable timekeeping, and organized HR processes to stay on track.

Behind the scenes, HR at Grants Pass Toyota is run entirely by one person: Brenda Nelson, HR Manager. From onboarding and hiring setup to daily timecard monitoring, benefits administration, and semi-monthly payroll, Brenda manages every HR responsibility herself.

To do that well, she needs systems that are dependable, intuitive, and built for the realities of dealership operations. Since 2022, Netchex has become the platform she relies on to keep everything running smoothly.

The Challenge 

A One-Person HR Department with
No Room For Error

Before Netchex, payroll at Grants Pass Toyota was handled through the dealership’s accounting software. Over time, that system simply couldn’t support what the dealership needed.

When the business moved away from that accounting platform, payroll had to move too. At the same time, Brenda was brand new in her HR role and stepping into responsibility for onboarding, payroll accuracy, and employee data management, all as a department of one.

She checks timecards every day to catch missing punches early, because letting issues pile up turns them into much larger problems at the end of the pay period. Payroll runs twice a month, and accuracy matters and not just for compliance oversight, but also for employee trust.

Since implementing Netchex, Brenda has built a rhythm that supports her role instead of slowing her down.

She manages onboarding and hiring setup directly in the platform, monitors timecards daily, and runs semi-monthly payroll using a checklist provided during onboarding. And it’s a checklist she still uses today.

Netchex also supports dealership-specific realities, like pulling flag times and handling employees who work across locations or departments. 

“It’s nice to be able to pull flag times and even clock someone in when they’re at another location or sister store — they don’t have to come into the office. Netchex is really geared toward auto dealerships and they know what we’re doing.” – Brenda Nelson, HR Manager 

When employees help in another department, Brenda can correct timecards so hours flow into payroll accurately, without workarounds.

Today, Brenda describes payroll as a quick process, which is a major shift from the uncertainty she faced early on.
